Sailing Club Websites: What Members Actually Need

We work with several sailing and water-sports clubs around the Teign estuary, the Exe and the Torbay coast, and we hear the same brief from every committee that has just inherited a tired website. Roughly: "members keep complaining about the site, but nobody can quite say what to fix". Here is the answer, after working through this with a few clubs.

What members actually use a club site for

Strip the website back to what gets clicked, week in, week out, and the pattern is simple. Members come to the website to:

  1. Check the race calendar.
  2. Read the latest results.
  3. Find out what is on this weekend.
  4. Get a tide time or a wind forecast.
  5. Pay for membership renewal or a course.
  6. Find a phone number for the duty officer or training principal.

Almost everything else — gallery photos, history, committee minutes, a blog — is secondary, and on most club sites it gets in the way of the things members actually want.

The race calendar that actually works

A racing calendar should load on a phone in under two seconds, fit on one screen, and let a member see at a glance: when is the next race, what start time, what class, what course (if it is a multi-fleet calendar), and whether there is a duty.

The common mistake is to embed a Google Calendar iframe and call it done. It works, sort of, but it is slow on mobile, hard to filter, and looks generic. The better approach is a custom calendar plugin (we use The Events Calendar with custom event types) that lets you tag events by fleet, by series, by course, and lets members filter to just the racing they care about.

Results — the bit that gets read most

Posted results are the single most-clicked part of any racing club site. The setup that works: a "Results" section with one page per series, results uploaded as CSV or imported from Sailwave, and an RSS or email subscription for "new results posted".

Members want to see their own position over a series, the season standings updating live, and the discards calculated. They do not want to download a PDF that is hard to read on a phone. PDFs as a backup, HTML as the primary.

Members-only content done right

Most sailing clubs have some content that should be members-only. Past meeting minutes, member contact lists, certain documents. A sledgehammer approach to membership — locking everything behind a login — kills the public-facing recruitment job the website is also supposed to do.

The right setup is a members area as a clearly-signposted but small subset of the site. Restrict Content Pro is our go-to plugin. The public site does the visitor and recruitment job. The members area does the documents and the directory.

Online membership renewal and course payments

Annual renewals used to be a paper-and-cheque exercise. They do not need to be. WooCommerce with a "membership product" set to recur annually handles renewal, sends a reminder email, and takes the payment by Stripe. A club doing 200 renewals saves the membership secretary a working week of admin.

Same logic for training courses. Sign up online, pay online, receive joining instructions automatically. The training principal stops being an unpaid administrator.

Visitor information that actually helps

The "visitors" page on a sailing club site does not need to be a brochure. It needs to answer: where do I park, what are the access times, what does the launching ramp look like at low tide, who do I phone if I am arriving with a yacht and need a mooring. Photos of the slipway and parking from a visitor's perspective are worth more than ten pages of welcome copy.

What it costs

A focused sailing club site on WordPress with the core features above sits comfortably within a £300 a month retainer if you also want hosting, maintenance and ongoing updates. A more minimal start is the £250 starter site upgraded as the club grows.
