Online Booking for Devon Sailing Schools

A Devon sailing school running a busy summer programme has roughly the same booking problem every year: how to fill courses without spending half the office time fielding phone enquiries about availability, taking deposits, sending joining instructions and handling weather cancellations. A properly built online booking flow handles 80% of the workload. Here is what that looks like, drawn from work we have done with sailing and water-sports schools around the Teign estuary and the Exe.

The course catalogue

The starting point is a clean course catalogue page. One page per course type — Adult Beginner, Improver, Junior Stage 1, Junior Stage 2, RYA Day Skipper, etc. Each page has a paragraph or two explaining what the course covers, who it is for, the boat type, group size, and what the learner will be able to do at the end.

Then a list of upcoming dates with availability indicators — green for plenty of spaces, amber for filling up, red for full or waitlist. The dates are pulled from a calendar, not hand-edited every time.

The booking form

Each date has a "Book this course" button that goes to a form, not a phone number. The form collects: learner name, age (for juniors), parent/guardian if under 18, contact details, sailing experience, any medical or relevant physical considerations, and a tick-box for the school's terms.

Crucially, the form takes a deposit at this stage. Stripe integration handles card payments securely and sends a receipt automatically. The deposit covers your costs if somebody no-shows.

We have built these for Devon sailing schools using WooCommerce with a "course product" approach, and using Gravity Forms with Stripe integration for schools that wanted simpler. Both work; the WooCommerce route gives you more reporting, the Gravity Forms route is lighter to maintain.

Joining instructions, automatic

The moment the deposit is paid, the customer should get an email with joining instructions. Not from a person — automatically. Where to meet (with a Google Maps link), what time, what to bring, what to wear, what happens in bad weather, the principal's mobile in case of emergency. Same content every time, sent every time.

A school running 200 course bookings a season saves a working week of admin by automating this email.

Weather cancellation logic

Sailing schools have to cancel for weather. The website needs to make this graceful. Our typical setup: a "cancellations" page with a clear policy, plus an email-out function in the booking system that lets the principal email all booked-on customers for a given day with one click and a reschedule offer.

Built into the terms at the booking stage: cancellations for weather are rebooked, not refunded by default. That is a normal industry standard but it must be on the booking form, not buried.

Tide and weather context on the site

For Devon sailing schools the tide and the wind matter to the customer experience. A simple tide widget on the homepage (xtide, or an embedded widget) and a wind forecast link are useful and add credibility. They also keep visitors on the site longer, which Google reads as a quality signal.

Avoiding the common mistakes

What we see go wrong on existing Devon sailing-school sites:

  • Course list as a PDF download rather than a proper page. PDFs do not rank, do not work well on mobile, and are a friction.
  • Phone-only booking with no online option. Loses the parent who tries to book at 9pm on a Sunday.
  • Booking form that takes the booking but no deposit. No-show rates climb fast without a financial commitment.
  • No automated joining instructions. The principal is the bottleneck.
  • Old course dates left up after they are gone. Looks sloppy and confuses search engines.
