The five cloud tools most Devon small businesses get value from
1. Google Workspace (£5-£10/user/month). Email at your own domain (info@yourbusiness.co.uk), shared drive, calendar, video calls, decent docs and spreadsheets. For most Devon small businesses, this is the foundation. The free version (Gmail at gmail.com) is fine for sole traders but starts to embarrass once you've got staff or you're invoicing real clients. Microsoft 365 is the alternative — pick whichever your team is more comfortable with.

Contact Here2. Xero, QuickBooks or FreeAgent (£10-£35/month). Cloud accounting. MTD-compliant for VAT, reconciles bank feeds automatically, generates invoices, tracks expenses. Works with most Devon accountants. The "should I bother with proper accounting software" debate is over — if your turnover is above £20k, the answer is yes, and the cloud versions are objectively better than the desktop ones.
3. A proper cloud hosting platform for the website. Not GoDaddy shared hosting. Real cloud hosting — Cloudways, SiteGround, Kinsta or our own ShoutFast hosting layer. 4. Dropbox, Google Drive or OneDrive (free to £8/user/month). File storage and sharing. The free tiers are usually enough for a small business. Pick one and standardise — switching between three different cloud drives is the actual productivity killer.
5. A scheduling tool (Calendly, free to £8/month). If you book appointments — trades quoting, hairdresser, consultancy, accountancy — Calendly or similar removes the back-and-forth email tennis. Pays for itself in saved hours within a fortnight.
What's worth paying for and what isn't
Worth paying: the email layer (proper Workspace), the accounts package, the website hosting. These are the three places a budget tool will cost you more in lost time and credibility than the price difference.
Don't bother paying for: premium tiers of cloud storage (the free tiers are huge for a small business). Premium tiers of project management software unless you have 10+ people. AI-everything subscriptions sold as "boost productivity" — most are repackaged ChatGPT and a £20/month direct OpenAI subscription does the same job.
What's overhyped
"Cloud-native everything." You don't need to migrate every workflow to the cloud. Some things — design files, large video, off-line backups — are still best stored locally with cloud as the secondary backup, not the primary location.
Edge computing for small businesses. Sales jargon. Won't matter to you for at least another five years.
AI cloud platforms aimed at SMBs. The honest version: ChatGPT, Claude or Gemini directly are fine. The £200/month "AI marketing automation cloud" being pitched to small businesses is almost always a thin wrapper around the same models you can use directly for £20/month.
Cloud hosting specifically — why it matters for the website
A budget shared host (the £2-£5/month variety) puts your website on a server with hundreds of other sites. When one of them gets a traffic spike or a security issue, yours slows down or goes offline.
